SESQUICENTENNIAL MEETING MINUTES
MARCH 11, 2008
7:00 P.M.
SENIOR DINING
Present: Cathy Essick, Tamara Riddle, Carl Schumacher, Donna Meier, Gen
Maroc, Ronald Wetjen, Jan Waddell, Candi Schmieder, Janis Hinrichs, Kay
Enochson, LaVerna Moser, Marilyn Rodgers, Beth Kloster, Barb Barrick, Roger
Anderson, Janet Gerard, Bob Gerard, Karen Martin
Clipboard was circulated for everyone to sign and add email
addresses. Minutes and agendas will be
emailed from this point forward.
List of committee chairs was distributed; the list is to be used to
contact chair persons in between meetings so that meetings can be limited
to committee updates
Everyone attending introduced him/herself.
Carl explained that the basic format for planning the sesquicentennial
will be similar to that used for RAGBRAI: There is an advisory board comprised
of Candi Schmieder, Cathy Essick, Janis Hinrichs, Barb Barrick and
himself. The advisory board will
oversee the individual committees; this aids in communication. Legwork is done by the individual
committees; committees will then report back to meetings with
concerns/problems/requests/updates.
Minutes/notes will be taken at each meeting and emailed. In addition,
meeting reminders and tentative agendas will be emailed.
Advisory board feels that one meeting per month will be sufficient for
now with bi-monthly meetings to start next spring and weekly meetings beginning
as we move closer towards the celebration.
Priorities to think about right
now include costs, timelines, and schedule of events.
The schedule for the Sesquicentennial is as follows:
·
July 2, 2009 – evening
entertainment to kick off celebration
·
July 3rd
& 4th – all day events
·
July 5th –
community church service and pancake breakfast
Carl stressed that although planning and executing the sesquicentennial
will be hard work, everyone should have
fun.
Committee Reports:
Budget – Barb indicated that budget forms will be
distributed in the very near future…any figures at this time would be
preliminary estimates only with more concrete figures needed later
Entertainment – Carl will be meeting with other entertainment
chairs to get input
Volunteers – Donna agreed to chair this committee; they will
recruit volunteers for those committees that don’t recruit their own
History Book/Calendar – Marilyn reported that the 2008 calendars have
almost sold out; they are gathering photos for use in the 2009 calendar and
anticipate having it ready by Nov. 1st. Data is coming in for the book, along with research being conducted.
The history book committee may sell advertising to cover they book, but
they are adamant about not charging for book material submissions. The committee is now meeting once per
month. It was noted that the high school wanted to help with contacting
businesses and gathering their information.
Contact for high school is Chris Samuelson.
Publicity/Schedule of
Events- Let Cathy know about events and
locations. We will need a rough draft
of the schedule of events very soon.
Decorations – Beth is wanting ideas for themes. The committee
may do a fall bulb sale fundraiser.
Ag Display – Bob and Janet have been in contact with various
groups. The big question for this
committee is when and where? It was suggested that someone attend a fair board meeting to see if they are going
to participate in the celebration or if
the committee needs to rent the fairgrounds.
Threshing exhibit was discussed; oats
will need to be sewn this year if
we are going to have a threshing
exhibit. Possiblity of an obstacle race with horses, tractor pull, antique
tractor display.
All School Reunion – needs a committee chair. There are many individuals willing to serve
on the committee, but no one is interested in chairing.
Quilt – Dayle almost has the pattern. LaVerna presented a quilt she had made to
donate towards a raffle. Consensus was
to raffle this quilt this summer.
Cookbook – Genny reported that they will need 575
recipes…the project will be getting underway very soon. The book will have a blue spiral spine with
thick tab dividers and the logo on the front.
The committee is considering adding pictures. Forms will be distributed for the recipes. Five hundred books
will be ordered with more if necessary.
One-half of the cost is due 30 days after shipment with the remainder
due 60 days after shipment.
Food – Janis has contacted the gentleman in Bloomfield; he
will come in and provide food and tents; churches will provide volunteers and
split proceeds. Janis needs to know
where events are so that she can
coordinate food.
Beard/Clothing – Karen reported that the style show held on March
2nd was a success. One hundred people attended; everyone had a good
time. The style show itself netted
about $265. In addition, several
calendars and T shirts were sold.
Another style show is being planned for next spring incorporating more
older clothing. In addition, the committee may plan a dinner using historical
tableware. A church walk will be hosted in December, and the
committee plans a float for the July 3rd
parade. Registration for the beard contest will be in January and registration
for the style show will be in May; the two events will need a 3-hour time slot.
Questions/comments followed committee reports:
Antique tractor club that dances?
It was discovered that they will have their last performance this
summer.
Can we sell the bricks from the downtown streetscape project (engraved)
for fundraising?
Pictures of stained glass windows/doors? Cathy is working on this with Susie Turnbull.
Will the sesquicentennial have
a website? Right now it is a page on
the City’s website. Let Barb and/or
Cathy know of events.
Where should we turn in bills and receipts? To Carl.
Victor Herald ran ad for style show
at no cost.
Decorations and tableware left over from style show are available if anyone needs to use them.
